When an order with a package completes, SERVOS sends the guest a package email with the subject "Your Ski Weekend is booked". You can't turn it off, but you can add your own message to it on the package's Email tab.
What the email contains
- The package image and "You're booked", the package name, and the dates. A bundle shows its description instead of dates.
- "Guests", and for a stay the "Room" and the stay's "Confirmation" code.
- For a stay, "Register your guests" with a Register guests button. It signs the guest in to the guest portal on the stay's Guests tab, where they add everyone staying. The link works until the check-out day. The section is left out once every guest is registered, so a resend doesn't ask again. The pre-arrival reminder still goes out a few days before check-in if the register is incomplete. See Guest registration.
- Your message, if you wrote one.
- "Your trip": the booking day by day, with check-in and check-out times, booking times, and each ticket's "Valid From" time.
- "What's included": every part of the package with its quantity, without prices.
- "Getting here": your organization's address with a map link, and an "Add to calendar" link.
- A "View your booking" button that signs the guest in to the guest portal.
The guest must have an email address on the order. Walk-in customers without one get nothing.
Your message
"Message to guests" on the Email tab is a text editor with "Heading 1", "Heading 2", "Bold", "Italic", "Bulleted list", "Numbered list", and "Link or button". Other formatting and images are removed when you save. Write what a guest of this package needs to know: what to bring, where to meet for the guided tour, when dinner is served. Press Save. The notice "Email saved." confirms it. Clearing the text removes the message from the email.
To add a link, select the words to link, or place the cursor where it goes, and
press "Link or button". Fill in the Text and the Link, for
example skirental.no (SERVOS adds https://) or mailto: and tel:
addresses. Turn on Show as a button to show it as a black button in
the email, the way "View your booking" looks. Click a link and press "Link or
button" again to change it, or Remove to turn it back into text.
The message is read when the email is sent, so a change applies to every email sent after it, resends included. The message also shows on the package's page in the guest portal, which always reads the current message, so a change reaches guests who have already booked.
Preview
Preview shows the email for the latest booking of the package, with your saved message. Save first to see a change. Before the first booking it shows a sample booking: the first room, the earliest dates the package allows, its smallest party and everything included, with confirmation code ABC123. Service times in the sample are set to 10:00 on the second day.
The other emails
A package replaces the separate stay and booking confirmations for the parts inside it. The guest still gets the order confirmation, and a ticket email if the package includes tickets. See Emails to customers.
To send the package email again, see Packages in orders.
