Setting up accommodations

Last updated: 26 Oct 2026

An accommodation is a room type, "Deluxe Suite" or "Double Room", with a description, base rate per night, occupancy, and stay rules. Its rooms are the physical units guests sleep in, "101", "102", "A-01". Bookings are made per accommodation and land in one of its rooms. You manage them by pressing Accommodations in the sidebar. Creating, editing or archiving accommodations, and adding, editing or deleting their rooms and add-ons, needs the Member role or above.

Creating an accommodation

Press Create Accommodation. Two steps: "Details" with the "Title", "Short Description", "Description", and "Base Rate (per night)"; then "Configuration" with "Check-in Time" (default 15:00), "Check-out Time" (default 11:00), "Min Stay (nights)", "Max Occupancy", and "Tax Group" ("Use organization default" unless this room type is taxed differently). Press Create Accommodation to open the new accommodation's page.

A new accommodation starts as a Draft. It isn't bookable until you set its "Visibility" to Public on that page.

The accommodation page

Each accommodation has its own sidebar: Accommodation Setup, Rooms, and Addons. The setup page lists every setting with a pencil to edit it:

  • "Visibility": Public means bookable on your booking site, through the storefront API, and at the POS. Draft means hidden everywhere. (Private behaves like Draft for accommodations.)
  • "Short Description" and "Description".
  • "Check-in Time" and "Check-out Time". Check-out must be earlier in the day than check-in.
  • "Min Stay (nights)" and "Max Stay (nights)", the latter "No limit" when empty. Date-specific stay rules belong in restrictions; see Availability and pricing.
  • "Max Occupancy": the most guests per room.
  • "Allow Same-day Booking".
  • "Tax Group" and "Cancellation Policy", each "Organization default" unless set. See Taxes and Cancellation policies.
  • "Base Rate": the nightly price before pricing rules.

Under "Media", press Add Media to upload images. The first image is the thumbnail; drag to reorder.

Rooms

Rooms lists the units. Press Add Room, give it an "Identifier" ("101", "Suite 1"; unique across your organization) and a "Status". Only "Active" rooms can be booked, so set a room to "Inactive" to take it out of service for a long time, and use a room block for a few days (see Availability and pricing). Rooms have no price or capacity of their own; both come from the accommodation. A room that has ever had a stay can't be deleted, only set inactive.

Every new room starts "Dirty" on the housekeeping board. See Housekeeping.

Booking sites

Publishing to Booking.com, Expedia, or Google Hotels is separate from "Visibility". It's decided per channel by the mapping under Settings → Sales Channels. See Channel manager.

Archiving

Archive in the accommodations list's row menu hides the accommodation and stops bookings. Existing stays keep their history. Archiving can't be undone from the app, so use Draft for a temporary stop.

Common questions

Two rooms of the same type have different prices. Pricing is per accommodation. Make the pricier room its own accommodation, or use pricing rules scoped to an accommodation for seasonal differences.

The accommodation doesn't show on our booking site. Check "Visibility" is Public, that it has at least one "Active" room, and that no "Close for Sale" restriction covers the dates.

Can I rename a room? Yes. Edit its "Identifier" from the room's row menu. Bookings follow the room.

What's the difference between Min Stay here and a restriction? "Min Stay (nights)" and "Max Stay (nights)" are the accommodation's baseline, on your booking site and on the OTAs. A "Length of Stay" restriction tightens them for particular dates or days of the week. The stricter of the two applies: the booking calendar greys out shorter and longer stays, and SERVOS refuses them when they're added to a cart.
