Everyone who works in your SERVOS account is a user with a role. Owners and admins can change settings and see money; members and viewers run the desk. You manage the team under Settings → Users, and people join by email invitation.
Roles
Four roles: "Owner", "Admin", "Member", "Viewer". In practice there are three levels:
- Owner and Admin can edit every setting (general, taxes, policies, payments, terminals, branding, API keys, sales channels, migration), see Analytics, Reports, Billing, and the activity log, manage discounts and room blocks, edit completed orders, and assign rooms to stays. The only difference is that the owner can transfer ownership, and no admin can edit the owner's own row.
- Member does everything else: the dashboard, POS, bookings, check-ins, housekeeping, customers, orders, payments, the help panel.
- Viewer has a member's access except checking guests in or out, undoing a check-in, changing a room's housekeeping status, creating, editing, completing or deleting tasks, and, on an order, issuing, cancelling or retrying a refund, cancelling the order, recording or deleting an external payment, editing billing details, and downloading a receipt. For services and their bookings, a viewer can't check a booking in or mark a no-show, cancel it or edit its note, or create, edit or delete services, variants, opening hours, add-ons, resources or blocks. None of those buttons show for a viewer. For check-ins and housekeeping, the staff app shows "Your role cannot …" in their place. Viewers also can't create, edit or archive accommodations, or change their rooms, add-ons, restrictions or pricing rules. Those buttons still show; pressing one says "You don't have the required permissions". Viewers also can't create, edit or delete products, or change their options, variants or prices. Create Product and Delete don't show for a viewer; a product's fields, option controls and variant prices show greyed out. Viewers also can't create, edit or delete events and their ticket types, passes, or collections, or add, reorder or remove a collection's products, and can't upload, reorder or delete images on anything. Those buttons still show; pressing one says "You don't have the required permissions".
The settings pages themselves are visible to everyone, but a member who tries to save is told they don't have permission.
Inviting someone
Press Add Users, enter each person's email, name, and role (Member, Admin, or Viewer), add rows with Add another invitation, and press Send Invitations. They get "Invitation to join …" with an "Accept Invite" button, valid for 30 days. Someone new sets a password (at least 12 characters); someone who already has a SERVOS account in another organization just accepts and the organization is added to theirs.
"Pending invitations" lists what's outstanding with Resend and Cancel. Resending sends the same link again; it doesn't extend the 30 days.
Editing, deactivating, removing
Each user's row menu has Edit details (name, email, role), Send Password Reset, Deactivate or Reactivate, and Remove.
Deactivating keeps the user but ends their access; they're signed out on their next request and can be reactivated later. Removing deletes their membership in this organization. Neither touches their membership in other organizations, and you can't deactivate or remove yourself.
Editing a user's email changes their sign-in email everywhere, in every organization they belong to, and asks them to verify it again. Do that only with the person's agreement.
Transferring ownership
On the owner's own row, Transfer Ownership picks a new owner among the active users. The old owner becomes an admin. It can't be undone except by the new owner transferring back.
Common questions
A staff member can't apply discounts, block rooms, or see Analytics. That's role. All three need Admin or Owner. Decide whether they should have settings access too, because admin is all or nothing.
Someone can't check guests in, mark rooms clean, refund an order, or change a product. That's the Viewer role. Make them a Member under Edit details.
Someone left. Deactivate right away (it also signs them out), then Remove once you're sure. Their past actions stay in the activity feeds.
They never got the invitation. Check the address in "Pending invitations", Cancel and re-invite if it's wrong, or Resend if it's right. Invitations come from support@servos.dk; it may be in spam.
Can someone be in two organizations? Yes, with one sign-in. Invite the same email; they accept without a new password and switch organizations from the menu at the top of the sidebar.
