Reports is for the bookkeeper and the statistics office. Two modes, "Financial" and "Occupancy", each with tabs you can read on screen and an Export button that downloads the whole mode as a spreadsheet for the selected dates. It is for owners and admins. The default range is the last 30 days.
The financial workbook
One file, named financial-report_ followed by the dates and your
organization's slug, with these sheets (empty ones are left out):
- "Sales Report": one row per confirmed order created in the period, with total, paid, outstanding, payment status and method, and sales channel ("SERVOS checkout", "POS", or the booking site; "Other OTA" when the booking site didn't say which it was).
- "Stay Consumption", "Ticket Consumption", "Booking Consumption": one row per stay, ticket, or booking consumed in the period (by check-in date, event start, booking start), add-ons folded in, with a gross column per ledger account.
- "Product Sales", "Pass Sales", "Fees": one row per item sold in the period, with amount and ledger account. Fees count in the month they were charged, so a cancellation fee on a September booking cancelled in October is in October's "Fees" and "Ledger Account Totals", also when the order is cancelled.
- "Ledger Account Totals": the tax export. Per tax group and ledger account, net, tax, and gross for the period, with tax level code. This is the sheet for the VAT return. See Taxes.
- "Payments": every succeeded payment by payment date, with receipt number, method ("Card (SERVPAY)", "Terminal (SERVPAY)", "External Payment", and so on), and totals by method.
- "Credit Notes": every refund with date, original order, amount, reason, and who issued it.
- "Prepaid": money received by the period end for consumption after it, deferred revenue.
- "Pass Redemptions": each clip spent, with the recognized value, net, and VAT. See Passes.
"Prepaid" and "Pass Redemptions" are in the export only; they have no tab on screen.
How the VAT figures are derived
Prices are tax-inclusive. For every order line, tax is extracted from the discounted gross amount at the line's tax group rate; it is never added on top. Discounts therefore reduce tax by themselves, and the ledger totals always reconcile with what customers paid. Passes sell at 0% into a deferred-revenue account and recognize VAT as they're spent.
The occupancy workbook
A second file, named occupancy-report_ followed by the dates and your
organization's slug, with four sheets built from stays arriving in the
period:
- "Occupancy": per accommodation, room and bed occupancy, room nights and guest nights within the period, available room nights, average guests per room.
- "Guest Nights": total, domestic (your organization's country), foreign, and unknown, with domestic share and room nights, all for whole stays.
- "Guest Nights by Country": per country, with arrivals.
- "Arrivals and Guest Nights": arrivals, guest nights, and average nights for domestic, foreign, and total, with unknown origins counted as foreign, following the statistics-office convention.
Guest nights count adults and children, not infants. Origin comes from the phone number's country code, then the billing address. Stays are picked by arrival date, so a stay from 28 December to 5 January is only in a December report. There the guest-night sheets count all 8 nights, and the "Occupancy" sheet counts the 4 nights up to 31 December.
Common questions
Which sheet do I hand the accountant? "Ledger Account Totals" for VAT, "Payments" and "Credit Notes" for money in and out, "Sales Report" for orders. The consumption sheets tie revenue to when it was delivered.
The totals on screen and in the file differ. Check the date range and the mode; the export takes the range shown. Note that the "Tax %" column in the file rounds to whole percents for display.
Is there a customer export? No. Customer data leaves SERVOS only through the sheets above, which carry the customer name per order.
