Passes

Last updated: 26 Oct 2026

A pass is a prepaid clip card. A customer buys, say, a "10-Class Pass" once and spends its units on services over time. You define pass products under Products → Passes, sell them at the register or online, and SERVOS tracks every customer's remaining balance, expiry, and usage history. Creating, editing or deleting pass products needs the Member role or above; selling a pass doesn't.

Creating a pass product

Create Pass asks for the name, price, tax group, visibility, the number of "Units" (uses) the pass grants, an optional expiry ("Expires after" a number of days, weeks, months, or years; blank means never), and "Redeemable against", the service variants the pass covers. Passes redeem against services only, not stays, tickets, or products.

A pass that has been sold can't be deleted, only archived. Sold passes keep working.

Selling and issuing

Passes sell like anything else: the Passes tab at the register, or your online checkout for public passes. You can also issue a pass directly to a customer without a sale (Issue pass on the pass page), useful for compensation or prizes.

On purchase the customer gets an email with their pass code (like "P-7KQ9W2"), the balance, expiry, and instructions. That email is the customer's pass. There is no card to hand out.

How customers redeem

At online checkout, the customer books a covered service and enters their pass code in the discount-or-pass-code field. The covered item drops to zero payable and a unit is deducted. After each use they get an email with what's left. The code works for whoever presents it, so a pass can be bought as a gift.

Two rules: a pass can't be bought and spent in the same purchase, and a pass redemption can't combine with a discount on the same item.

Managing balances

Each pass product has a Purchases list showing every sold pass with its customer, code, remaining units, status ("Active", "Expired", "Cancelled"), and expiry. Edit pass adjusts the remaining uses; the history of what was already redeemed is kept. On orders, spent passes appear as a "Pass Redemptions" line.

The tax model: set this up once, correctly

A multi-use pass is a multi-purpose voucher. VAT should not be charged when the pass is sold. It is recognized when each unit is spent, at the rate of what was actually booked. SERVOS handles the recognition side (each redemption carries the redeemed service's tax group), but the sale side is your configuration.

Warning

Create a 0% tax group with its own ledger account for deferred pass revenue, and assign it to every pass product before selling the first one. A pass product carrying a normal VAT group is taxed at sale time.

The financial report's "Passes", "Pass Redemptions", and "Prepaid" sheets give your bookkeeper the full picture: outstanding balances, and recognized revenue with its VAT per redemption. See Taxes.

Common questions

The customer lost their pass code. It's on the pass product's Purchases list, in the "Code" column, and in their purchase email, which is worth reminding them to keep.

A unit was redeemed by mistake. Edit pass and set the remaining uses back. The redemption history stays intact.

Can passes be redeemed at the register? Today passes are redeemed at online checkout with the pass code. Selling them works everywhere.
