A product is anything sold by the piece at the register: a coffee, a T-shirt, a bottle of wine. Products live under Products in the sidebar and sell only through the POS (and the order editor). There is no online product shop and no stock tracking, so a product is a name, a price, a tax group, and optionally variants like sizes or colours. Creating, editing or deleting products, options and variants, and changing their prices, needs the Member role or above; viewers see the same pages with the fields greyed out.
Creating a product
Press Create Product. The "New Product" dialog asks for "Name" and "Price" and opens the product on its Setup page. A product has two pages in its sidebar: Setup for its details and Variants for its price and variants. On Setup, fill in what you need:
- "Short description" and "Description".
- "Status": Public, Draft, or Private. Public and Private products both sell at the register; Draft products don't.
- "Product type" (free text) and "Tags", which automated collections can match on.
- "Tax group": leave it on "Organization default" unless this product is taxed differently. See Taxes.
- "Media": press Add Media to upload images (2 MB each). The first image is the tile in the register; drag to reorder.
On Variants, a simple product has a "Pricing" section:
- "Price", and optionally "Compare-at price". Set the compare-at higher than the price to show a sale; leave it at 0 for no comparison.
- "Open price": the price is typed in at the register each time. Use it for things priced on the spot.
Fields on each page save from the Save button in the unsaved-changes bar at the top. Media, options, and a variant's SKU and barcode save on their own.
A product created with a price above zero is published immediately. Set it to Draft if it isn't ready to sell.
Variants and options
A product with one price and no choices is "simple". To sell it in sizes or colours, open Variants in the product's sidebar and press Add options like Size or Color to create variants, enter an "Option name" ("Size"), type each of its "Option values" and press Enter after each one ("Small", "Medium", "Large"), then press Save option. Up to three options per product. Every combination of values becomes a variant, named like "Small / Blue", and new variants start at the product's price.
Once a product has options, the Variants page shows its options and a table of every variant in place of "Pricing", with editable "Price" and "Compare-at price" columns. With two or more options, "Group by" folds the table by one option. Click a variant's name to give it a "SKU" and "Barcode" for your own reference; SKUs are unique within your organization. Nothing scans barcodes yet; the field is for identification only.
Adding or removing option values regenerates the variants. Variants that have already been sold are kept.
At the register
On the POS Products tab each product is a tile with its image and price ("From …" when variants have different prices, "Open price" for open-price products). Tap a single-variant product to add one straight away. Products with several variants open a dialog with a quantity stepper per variant and an Add Items to Cart button. Open-price products open a keypad for the price and a quantity. Tapping the same variant again adds to its quantity in the cart.
The first tile on the tab, Open price, is not a product at all. It adds a one-off line with its own name, description, price, tax group, and quantity, for anything you don't keep in the catalog.
On the order and the receipt, each unit becomes its own line with the product name. The variant name shows in the cart and on the order, not on the receipt.
Archiving
Delete in the products list's row menu archives a product that has never been sold, which removes it from the list. A product with sales can't be removed from the list; set it to Draft to stop selling it and keep the sales history.
Common questions
How do I take a product off sale for a while? Set its "Status" to Draft. It disappears from the register and comes back when you set it to Public again.
Can I track how many I have left? No. There is no inventory in SERVOS. Count stock outside the system.
Can one variant have a different tax rate? No. The tax group is set per product and applies to all its variants. Make the differently taxed item its own product.
I renamed the product but the variant still shows the old name. For a simple product the single variant follows the product name and price. For a product with options the variants are named by their option values, so change the values instead.
