A service is anything booked for a time slot: a massage, a guided tour, a sauna hour. The service carries the scheduling rules (how slots are spaced, how many people fit, buffer between bookings); its variants carry the duration and price ("30 minutes", "60 minutes"). Every booking is one person on one variant. You manage services under Services in the sidebar. Creating, editing or deleting services, variants, opening hours, add-ons, resources and blocks needs the Member role or above.
Creating a service
Press Create Service. The "New service" dialog has three steps. "Service details" starts with the "Kind", which can't be changed later:
- "Appointment": guests pick a free time within your opening hours, as for a treatment, a private sauna or a rental. The rest of this page is about appointments.
- "Class": you schedule sessions and guests join one until it's full, as for yoga, a workshop or a tour. See Classes.
It then asks for the "Name", descriptions and colour. "Scheduling" asks for the "Booking mode", "Capacity", "Slot interval", "Buffer time" and "Booking cut-off"; see the scheduling fields below. "First variant" creates the first bookable option with its own name, duration, and price; you can add more afterwards. Press Create service to open the new service's page. New services start Public.
The two booking modes decide what a slot means:
- "Exclusive (one booking per slot)": one booking takes the slot, like a treatment or a private lesson. Several can still run at the same time if several staff are free.
- "Shared (multiple bookings per slot)": a group time any guest can open, like a guided tour. Bookings share the slot up to the "Capacity", and customers pick a number of guests. For sessions you schedule ahead, such as a weekly yoga class, create a class instead; see Classes.
The booking mode can't be changed while the service has upcoming bookings. Wait until they're past, or cancel them, first.
The scheduling fields
- "Default Duration": the fallback length; the variant's duration is what's actually booked.
- "Slot Interval": how often a slot starts, for example every 15 minutes.
- "Capacity": people per slot. Variants can override it. For an exclusive service it's the most guests one party can bring; a larger party is refused when it's added to the cart.
- "Buffer Time": minutes an exclusive booking keeps its staff or room after it ends, before anything else can start there. Shared services have no buffer. The buffer must also fit before the service closes.
- "Booking Cut-off": how many minutes before a slot starts online booking closes. 0 keeps a slot bookable until it starts. Online booking also stops one year ahead. Bookings made at the desk ignore the cut-off, but not the one-year limit.
- "Customer Resource Preference": when allowed, customers booking online or at the desk can pick a specific staff member, or "Any available". They pick from the service's staff resources and the staff in its groups.
- "Calendar Color": the colour on the bookings calendar.
- "Visibility": Public services are bookable on their public page and at the POS. Private services are bookable at the POS only (their public link doesn't open). Draft services are hidden everywhere.
- "Cancellation Policy": "Organization default" unless set. See Cancellation policies.
Each row on the service page has a pencil that opens the "Edit service" sheet. Under "Media", Add Media uploads images; the first one is the thumbnail.
Variants
Variants in the service's sidebar lists the bookable options. Press Create and give it a "Variant Name", "Duration (minutes)", "Price", optionally its own "Capacity" (else the service's), a "Publication Status" (only Public variants can be booked), a "Position" for ordering, and a "Tax Group" ("Use organization default" unless taxed differently; see Taxes). A variant that has bookings can't be deleted; set it to Draft instead.
Online, a guest can't book a time that has already started, and a shared slot without space for the whole party shows as unavailable. Full times show as "Full".
Resources
Resources in the service's sidebar assigns the staff and spaces that deliver it. Opening hours sets when it can be booked; a service without opening hours is bookable around the clock. See Resources and availability.
The public booking page
Each Public service has a booking page on servos.dk where customers pick a variant, optionally a staff member, a date, and a time, and check out. Every Public service is listed on your booking site, and its page opens from there. The link to your booking site is in Settings under Branding. See Bookings for what the customer goes through.
Deleting
Delete in the services list's row menu removes a service that has no bookings. A service with bookings can't be deleted; set it to Draft to stop bookings and keep the history.
Common questions
A treatment has 30 and 60 minute options at different prices. One service, two variants. Slots are computed per variant from its own duration.
A group tour has 12 spots. Shared booking mode with "Capacity" 12. Customers and staff pick a number of guests per booking, and the calendar shows "booked / capacity" per slot. If the tour runs at fixed times each week, a class fits better; see Classes.
We need 10 minutes to reset the room between sessions. "Buffer Time" 10. The slot itself stays the variant's length; the staff or room is simply held for 10 more minutes afterwards.
Why does a Private service's link say not found? Private services are bookable at the POS only. Make it Public to use the link.
