Checking in at the door

Last updated: 26 Oct 2026

Tickets are checked in by scanning the QR code on the guest's phone with the event's scanner page, by typing the ticket code, or from the Sales page in the app. A ticket can only be checked in once, and the "Check-in Rate" on the Sales page counts as you go.

The scanner link

Every event has a scanner page that works in any phone browser and needs no SERVOS login. Open the event, press Scanner in its sidebar, and the "Share" dialog shows the link: press Copy link and send it to whoever stands at the door. Set a "Password" first and press Save if the link might travel further than you'd like; door staff then enter it once.

Warning

Anyone holding the scanner link can check tickets in. Treat it like a key: share it only with door staff, and set a password for events where the link goes to people outside your team.

Scanning

The scanner page opens the phone's rear camera (it asks for permission the first time). Point it at the QR code on the guest's ticket page. The header shows the event, when it ends, and "Checked In" as checked-in against sold, updating live across every phone on the same link.

Each scan gives a short message, a vibration, and a green or red flash:

  • "Check-in successful", with the guest's name and ticket type. Let them in.
  • "Ticket already checked in": this ticket was used. Same phone twice, or a screenshot passed on.
  • "Ticket not found": not a ticket for this event. A ticket for a different event shows this too.
  • "Ticket has been cancelled": the ticket was cancelled in SERVOS.
  • "Entry not allowed at this time": the ticket type's validity ("Valid From" and "Valid Until" on the ticket type) doesn't fall on today, for example a Saturday pass scanned on Friday.

If the camera can't read the code, press the keyboard icon, type the eight characters after "TKT-" from the bottom of the guest's ticket, and press Check In. The same messages apply.

From the app

On the event's Sales page, each ticket's menu has Check In (while the ticket is issued and not yet checked in) and Undo Check-in (once it is). Both are also on the ticket page, together with View Public Ticket. Undo is only available in the app, not on the scanner page, and it puts the ticket back as if it had never been scanned.

The guest's own ticket page updates live, so it reads "Checked In" as soon as you scan.

Common questions

The guest has no signal and can't open their ticket. Look them up on the Sales page (order number or customer) and use Check In from the ticket's menu, or ask for the ticket code and type it into the scanner.

We let someone in by mistake. Open the ticket on the Sales page and choose Undo Check-in. The ticket can then be scanned again.

The camera doesn't start. The page says why: "Camera permission denied" (allow it in the browser's site settings), "No camera found", or "Camera not supported (requires HTTPS)", which means the link was opened without https. Press Try Again after fixing it, or type codes instead.

Can two people scan at once? Yes. Open the same link on several phones; the checked-in count stays in sync, and a ticket scanned on one phone is "already checked in" on the next.

Does a checked-in ticket still count as sold? Yes. Checking in doesn't change the order or the ticket's price, only its status. A checked-in ticket can no longer be cancelled.
